To set up a stage

Create a record for each stage that you want to use in the work item life cycle (work process).

Choose the 🔎 icon, enter Stages, and then choose the related link.
Choose the New action.
Fill in the fields as necessary.

Using stages on work items

When a work item is created, it’s assigned to the first stage in the work process of the project that matches the progress of the work item.

When the progress of a work item is changed, the system will automatically move the work item to the first stage in the work process that matches the new progress or when a work item is moved to a new stage, the system will automatically update the progress of the work item to match the progress of the new stage.

Note

The stage of a work item can’t be changed if the work process is not enabled. This can in effect block change of the progress as changing progress will change the stage, if a work process is used.

To set up a work process

Create a record for each work process that you want to use to ensure that work items are completed in a systematic way.

Choose the 🔎 icon, enter Work Processes, and then choose the related link.
Choose the New action.
Fill in the fields as necessary. Hover over a field to read a short description.

Note

The work process can’t be enabled until at least one stage is defined for each progress step.

To set up a work process stages

Go to the Stages FastTab on the Work Process Card page.
Enter at least one stage for each progress step.
If you want to start using the work process and its stages on projects and related work items, after setting up the work process and its stages, select the Enabled checkbox on the General FastTab.

Tip

Priority is used to control the order of the stage in the work process. Lower numbers indicate higher priority.

To define a default work process for projects

You can define a default work process for new projects to avoid missing entering it on their creation, which causes issues later when related work items lack a work process.

To set up a default work process on projects setup

Choose the 🔎 icon, enter Projects Setup, and then choose the related link.
Fill in the Default Work Process field.

To set up a default work process on projects setup on PGS

Choose the 🔎 icon, enter Progressus Project Setup, and then choose the related link.
Fill in the Default Work Process field.

To set up a default work process on project template on PGS

Choose the 🔎 icon, enter Project Template, and then choose the related link.
Select a Project Template and choose the Edit action.
Fill in the Default Work Process field.

Note

When a project is created from a template, the template’s default work process is used; the default value from project setup value is ignored.

Assigning work process to projects

Each project can have a work process assigned to it and all the stages in the work process are available for use in the project. The first stage in the work process is used as the default stage for new work items created in the project.

Note

Only enabled work process can be assigned to projects.

Note

Once you create a work item for the project that has a work process assigned you will not be able to change the value of work process on the project if there are stages on the old work process that do not exist on the new work process.

To assign a work process to a project

Choose the 🔎 icon, enter Projects, and then choose the related link.
Select a Project and choose the Edit action.
Fill in the Work Process Code field.

To assign a work process to a multiple projects

Go to the Work Process Card page.
Choose the Assign action.
On the Filter: Project FastTab on the Assign Work Process page, enter the filters to assign a work process to selected projects.
On the Options FastTab on the Assign Work Process page, select Replace Existing Work Process checkbox if you want to replace the existing work processes on selected projects. Otherwise, a work process will be assigned only to selected projects where Work Process Code field is blank.
